M&J Engineering, P.C. is a full-service engineering consulting firm for public and private entities.

This position provides a wide variety of project, technical and administrative support to the management team including the project manager and lead resident engineers in the project field offices. As such, the candidate must be able to adapt to processes and procedures as necessary to meet project objectives. Additionally, the candidate must be able to apply judgment in determining work methods and balancing competing priorities.

The employee should be capable of working in a team environment, supporting the office and projects in day to day activities, tasks, and administrative support, in accordance with company standards and requirements.

Responsibilities

Project Coordination Administration

Responsibilities include, but are not limited to, the following:

  • Supporting the Project Manager and key individuals in the office in proactively coordinating project files, managing information flow, taking meeting minutes, planning meetings, workshops and events and managing calendars.
  • Supporting and preparing reports, presentations, and/or correspondence as required. May develop new or revise processes and/or procedures, or recommend improvements in support of the office or group of managers.
  • Researching questions and problems related to departmental or project activities.
  • Preparing monthly invoices, including periodic financial summaries.
  • Supporting the weekly and month progress report preparation.

Project Coordination for QC Field Engineering

Responsibilities include, but are not limited to, the following:

  • Assisting the project team in enforcing contract terms and conditions.
  • Researching industry standards
  • Reviewing, preparing and coordinating responses to RFIs and Submittals. May facilitate reviews by designer and contractor and project team.
  • Maintaining all project logs, including Correspondences, RFIs, Submittals, Changes, Project Configuration (e.g. Plans, and Specifications).
  • Preparing agendas, materials, and minutes for design, construction, and project update meetings.
  • Reviewing monthly invoice payment requests.
  • Preparing status reports, including periodic financial summaries

Project Financials

  • Supporting and preparing financial reports, invoices and responding to invoice and billing questions/issues, working with accounting contract representatives and assists with project status verification, procurement and procedural compliance.
  • Responsibilities are generally less routine in nature which may require independent judgment to accomplish assignments, such as preparation of work load forecast, project completion estimates, and coordination or production and delivery of project deliverables, documents, drawings, specs, etc.
  • Assisting Project Manager and Project Controls Manager with tracking of project expenditures, invoicing, tracking accounts receivable and subconsultant management.
  • Reconciling of project cost and schedule activities.
  • Completing periodic project financial tracking reviews with Project Managers.

Administrative Support

  • Providing office services support to staff which includes, expense reimbursement claims, travel arrangements, conference bookings, meeting coordination (catering, meeting logistics, clean-up) and general administrative support as needed.
  • Assisting with managing configuration of project baseline documents.

Qualifications

Requirements:

  • Bachelor's Degree (in Engineering preferred) 
  • 5 or more years of experience is preferred.
  • Possession of excellent time management skills
  • Possession of excellent interpersonal skills
  • Strong MS Office, including Excel, Word, and PowerPoint skills
  • Experience with MS Project, a plus
  • Experience with Adobe Acrobat, Project-Wise, Bluebeam, a plus.
  • Strong organizational skills, with the ability, to set priorities, follow-up and meet deadlines
  • Excellent communication skills, both written and verbal, including writing, editing and proofreading abilities

  • Excellent written and oral communications skills.
  • Ability to work in a cooperative team environment, with significant client interface
